By accessing or using Provify ("the Service"), you agree to be bound by these Terms and Conditions. If you do not agree, please do not use the Service. These terms apply to all users, including dental students, interns, residents, and qualified dental professionals, and to use of the Service through our website, our iOS application, and The Desk.
Provify is a software-as-a-service case documentation platform for use by licensed and training dental professionals. The Service enables you to:
Provify is a documentation tool only. It is not a patient record system, does not replace one, and does not connect to or interact with your clinic's systems. It does not provide professional or medical advice and does not constitute a healthcare service.
The Service is intended solely as a documentation and record-keeping tool for dental professionals. Nothing within the Service constitutes professional, clinical, or dental advice. All clinical decisions remain the sole responsibility of the professional using the Service.
Automatically generated content is a draft only. Clinical notes, complaint-response drafts, and any other automatically generated text produced by the Service may contain errors, omissions, or details that were assumed rather than stated. The Service will prompt you to review and edit this content before you confirm it. You are solely responsible for reviewing, correcting, and verifying all generated content before relying on it in any clinical, official, or legal context. Provify accepts no liability for the content of any record you confirm.
Aftercare allows you to record your own post-operative guidance and make it available to a patient through a temporary web page they reach by scanning a code. You are responsible for the clinical content of everything you record.
Once you confirm and lock a record it is timestamped and cannot be edited. This is a deliberate design decision and applies without exception. You should review a record carefully before confirming it.
You may view your locked records in the app with their attached images, and you may email yourself a PDF of the written record. That emailed PDF contains text only and does not include radiographs or clinical photographs; the app tells you so before it sends. Your production history may be exported separately.
Provify is not, and must not be relied upon as, your only or official record of treatment. Your obligations to maintain records under the rules of your regulator, your employer, and your clinic are unchanged by your use of the Service.
The Service is intended for dental professionals, including dental students, interns, residents, general dentists, and specialists. By registering you confirm that you are enrolled in or have completed an accredited dental programme, and that you are at least 18 years of age. Use by individuals outside this category is not permitted.
You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. Notify us immediately at app.provify@gmail.com if you become aware of unauthorised use. Accounts are personal and may not be shared.
Provify offers a 14-day free trial. The trial is limited to one per account and does not require payment card details. After the trial, continued use requires a paid subscription.
Prices are charged in your local currency at the rate set by the relevant payment provider, and may vary by territory and with applicable taxes.
Subscriptions purchased inside the iOS application are processed by Apple and are governed by Apple's terms as well as these Terms. In that case:
Web subscriptions are processed by our payment provider. You may cancel at any time and retain access until the end of the current billing period. Refunds are governed by our Refund Policy.
We may change pricing with at least 30 days' notice to existing subscribers. A price change will not affect the period you have already paid for.
Your use of the Service is also governed by our Privacy Policy. You retain ownership of the content you create in the Service. You grant Provify a limited licence to store and process that content solely in order to provide the Service to you.
You must not enter patient-identifiable information into the Service. Describe the treatment, not the person: no names, no initials, no identification numbers, no photographs of faces. The Service is designed for clinician-side documentation only, and entering patient-identifying data is a breach of these Terms and your sole responsibility.
Radiographs and clinical photographs you attach to a case are stored on your own device and are not uploaded to our servers. You are responsible for the security, backup, and retention of anything stored on your device, including if the device is lost, damaged, or reset.

We aim to keep the Service available, but we do not guarantee uninterrupted access. Features may be added, changed, or withdrawn. Where a change materially reduces functionality you rely on, we will give reasonable notice.
All content, design, code, and features of the Service are the intellectual property of Provify Technologies LLC. You may not reproduce, distribute, or create derivative works from any part of the Service without prior written consent. This does not affect your ownership of the records you create.
To the fullest extent permitted by applicable law, Provify shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service, including any loss arising from a record you confirmed, from reliance on generated content, or from guidance you recorded for a patient.
The Service is provided "as is" without warranties of any kind. Our total liability to you for any claim shall not exceed the amount you paid to us in the three months preceding the claim.
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited.
We may suspend or terminate your access for breach of these Terms. You may close your account at any time by contacting app.provify@gmail.com. Closing your account does not automatically cancel a subscription purchased through Apple; you must cancel that in your Apple Account settings.
These Terms are governed by the laws of the United Arab Emirates. Any disputes shall be subject to the exclusive jurisdiction of the courts of the UAE. If you use the Service from another country, you remain responsible for compliance with the professional and data-protection rules that apply to you there.
We may update these Terms from time to time. We will notify registered users of material changes by email. Continued use after a change constitutes acceptance of the updated Terms.
